Privacy Policy

Talliez ("we," "us," "our") provides a gate-attendance and school-management system used by schools ("Partner Schools"), their staff, students, and parents/guardians. This Privacy Policy explains what personal data we collect, why, and how it's protected, in line with the Philippine Data Privacy Act of 2012 (RA 10173) and its Implementing Rules and Regulations.

1. Who provides your data to us

For students and parents, your Partner School submits enrollment data to us on your behalf as part of its own attendance-monitoring operations — you do not create an account with Talliez directly until you claim your child's record. By enrolling a learner in a Partner School that uses Talliez, the school confirms it has the appropriate basis (parental/guardian consent or its own legal mandate as an educational institution) to share that learner's data with us for this purpose.

2. What we collect

  • Learner information: full name, Learner Reference Number (LRN), gender, grade level, section, and enrollment status.
  • Attendance records: gate scan timestamps (time in/out), RFID card identifier, per-subject attendance marks, lateness/excuse/cutting-class flags, and teacher remarks.
  • Parent/guardian information: name, email address, and contact number, used to link you to your child's record and to send attendance notifications.
  • Staff information: name, email, role, and school assignment, for school admins, teachers, and gate-device operators.
  • Account/technical data: login credentials (hashed, never stored in plain text), device push-notification tokens (for parents who enable them), and basic usage logs for security and troubleshooting.

3. Why we process this data

  • To record and confirm student attendance at the school gate and in individual subject classes.
  • To notify parents/guardians in real time when their child enters or leaves school.
  • To generate official attendance reports and forms (such as DepEd School Form 2) for the school's own compliance and recordkeeping.
  • To let school staff manage rosters, sections, and recognitions, scoped strictly to their own school.
  • To secure accounts, prevent fraud (e.g. verifying a parent account matches the school's enrollment record), and maintain the service.

4. Who can see your data

Access is restricted by role and strictly scoped to one school at a time — a school's staff cannot see another school's records, and a parent can only see their own linked child(ren). We do not sell personal data, and we do not share it with third parties for marketing purposes. Data may be disclosed where required by Philippine law or a valid legal order, or to a service provider strictly necessary to operate Talliez (e.g. our database/hosting infrastructure), bound by confidentiality obligations.

5. Retention

Attendance and roster data is retained for the duration of a learner's enrollment and the active school year. A Partner School may request a year-end reset, which clears rosters, sections, and attendance history for a fresh school year while preserving staff logins. A Partner School may also request full deletion of its account and all associated data at any time.

6. Your rights

Under the Data Privacy Act, you have the right to be informed, to access, to object, to correct, to erase or block, to data portability, to file a complaint, and to damages for any violation of your rights. To exercise any of these rights regarding your own or your child's data, contact your Partner School directly (as the primary data controller for its learners) or reach us at info@talliez.com.

7. Security

We use role-based access control and row-level security so every account can only reach data it's authorized to see, encrypted connections between your device and our servers, and hashed password storage. No system is perfectly secure, but we take reasonable and appropriate measures to protect personal data against unauthorized access, alteration, or disclosure.

8. Children's data

Talliez processes learner data as a service provider to schools, not as a platform students sign up for themselves — students do not have their own login. Parent/guardian accounts are the only way a family accesses a child's record, and creating one requires matching the exact email and contact number the school submitted at enrollment.

9. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above.
